What is CAM reconciliation in commercial property management?
Quick answer
CAM reconciliation is the year-end process in which a commercial landlord compares the common area maintenance (CAM) charges tenants paid as monthly estimates with the actual costs for the year. Each tenant's share is usually its leased square feet divided by the property's total square feet. The landlord then bills the shortfall or credits the overpayment, following the terms of each lease.
CAM reconciliation is the annual true-up of common area maintenance charges in a commercial lease. Tenants pay estimated CAM each month. After year end, the landlord totals the actual costs, calculates each tenant's share, and bills or credits the difference.
How CAM reconciliation works
The lease controls every step. Most commercial leases, especially a triple net lease, define four things:
What counts as CAM. Typical items are landscaping, parking lot upkeep, common area utilities, security, and snow removal. Many leases exclude capital improvements, leasing costs, and the landlord's own overhead.
The tenant's pro rata share. Usually the tenant's leased square feet divided by the building's rentable square feet.
Caps and fees. Some leases cap yearly increases in controllable costs or allow an administrative fee.
Timing and audit rights. Many leases set a deadline for the reconciliation statement and give the tenant a right to review the books.
A gross lease usually has no CAM reconciliation, because the rent already includes operating costs.
Example: one retail tenant
A shopping center has 40,000 rentable square feet. The tenant leases 5,000 square feet, so its pro rata share is 5,000 / 40,000 = 12.5%. It paid $1,750 per month in estimates.
Line | Amount |
|---|---|
Landscaping | $24,000 |
Parking lot sweeping and repair | $31,000 |
Common area utilities | $38,000 |
Security | $42,000 |
Snow removal | $15,000 |
Property insurance | $30,000 |
Total actual CAM | $180,000 |
Tenant share (12.5%) | $22,500 |
Estimates paid ($1,750 x 12) | $21,000 |
Balance due from tenant | $1,500 |
The total is $180,000, and 12.5% of that is $22,500. The tenant paid $21,000, so it owes $1,500. If the lease also allows a 10% administrative fee on the tenant's share, the fee adds $2,250. The tenant would then owe $22,500 + $2,250 - $21,000 = $3,750. For next year, a common approach is to reset the estimate to $22,500 / 12 = $1,875 per month.
Errors usually come from the inputs: an expense that the lease excludes, a wrong square footage, or a cap that nobody applied. A clear lease abstract for each tenant reduces those errors.

Questions, answered
When does CAM reconciliation happen?
Usually once a year, after the landlord closes the books for the year. The lease often sets a deadline for sending the statement to tenants. Some landlords also reconcile mid-year when costs change a lot.
What is a CAM pro rata share?
It is the tenant's percentage of shared costs. Most leases calculate it as the tenant's leased square feet divided by the building's rentable square feet. A 5,000 square foot space in a 40,000 square foot center has a 12.5% share.
Can a tenant dispute a CAM reconciliation?
Many commercial leases give tenants a right to review or audit CAM records within a set period. The lease sets the process. Tenants often check exclusions, caps, and square footage first.
