Comparison

AppFolio vs Rent Manager: pricing, features, and which to choose (2026)

Quick answer

AppFolio publishes per-unit prices (Core from $1.49 per unit per month with a 50-unit minimum) and Rent Manager does not: all three Rent Manager bundles are quote only as of October 2026. Rent Manager supports more property types, including RV parks, self storage, and manufactured housing, and gives unlimited custom fields and workflows on every bundle. AppFolio offers more AI agents on every plan and a published price you can budget against.

Choose AppFolio Property Manager

Choose AppFolio if you run a residential portfolio of 50 or more units and want published prices and AI agents on every plan.

Choose Rent Manager

Choose Rent Manager if you manage unusual property types such as RV parks, self storage, or manufactured housing, or need deep customization and database access.

AppFolio vs Rent Manager at a glance

AppFolio and Rent Manager both run accounting, leasing, and maintenance in one system. They take opposite approaches. AppFolio sells a standard product at published per-unit rates. Rent Manager, made by London Computer Systems (LCS) in Cincinnati, sells quote-only bundles that you can customize heavily.

The differences that matter

Price transparency

You can work out an AppFolio budget from its pricing page. A 300-unit portfolio on Core starts at 300 x $1.49 = $447 per month, before the unpublished minimum spend.

You cannot do the same for Rent Manager. Its pricing page lists three bundles with features but no prices. DoorLoop, a competing vendor, has published older Rent Manager rates of $1.00, $1.50, and $2.25 per unit per month, with minimums of $200, $300, and $450. A September 2026 review reports that Rent Manager's own page showed no prices when checked in July 2026. Treat the older figures as history, not a quote.

Property types

Rent Manager fits operators with unusual portfolios. Its site lists RV parks and campgrounds, self storage, manufactured housing, vacation homes, student, affordable, association, and commercial properties. AppFolio covers residential, student, affordable, association, and commercial portfolios. AppFolio requires the Plus plan for affordable and student housing.

Customization and data access

Rent Manager gives unlimited custom fields and custom workflows on every bundle. It also offers a read/write API and Open Access. Open Access provides read-only views that mirror the live Rent Manager Online database, so your team can query its own data directly.

AppFolio's data access depends on plan. Core lists no API. Plus adds a read-only API, and Max adds read/write. If your team builds its own reports or tools, this difference can decide the choice.

AI tools

AppFolio includes Realm-X on all plans. Realm-X runs multi-step tasks from plain-language requests. Its Performers are agents for leasing by email, text, and phone, for accounting tasks such as invoice coding and the close, for resident messages, and for answering calls.

Rent Manager's Orion AI focuses on summaries and drafting. It condenses long reports, drafts letters and listings in five languages, summarizes recorded calls, and reviews the audit trail for concerns. Its Smart AR/AP Suite adds AI-assisted bank reconciliation, invoice capture, receipt capture, and check scanning. Some Orion tools have conditions. Call summaries and voicemail insights need an NDT phone service subscription with call recording.

Both vendors now connect to outside AI models. AppFolio has a Realm-X connector for Claude. Rent Manager's Premium bundle includes an MCP connector.

Contract terms

AppFolio's Core Terms set an auto-renewing term with 30 days' notice for non-renewal. If you leave early for convenience, you owe half of the fees left in the term. Rent Manager does not publish its contract terms, onboarding fee, or data-return terms. Ask for all three in writing.

Rent Manager also lists extra costs for some features. Texting needs registration and a purchased phone number. Call center services, custom websites, integrated phones, and integrations are add-on services. When you request a quote, ask Rent Manager to price the bundle and every add-on you plan to use. See our Rent Manager pricing guide for what is and is not published.

What to check before you shortlist

Read recent reviews on G2 and Capterra for both products before you shortlist. Ask each vendor for two references with a portfolio like yours. For Rent Manager, ask which features need a paid add-on or a phone subscription. For AppFolio, ask for the minimum spend and the onboarding fee in writing, because neither is on the pricing page.

Who should choose each

Choose AppFolio if you run a residential portfolio of 50 or more units and want to know the price before the first call. It also fits teams that want AI agents for leasing, accounting, and phones without building their own tools.

Choose Rent Manager if your portfolio includes property types that most systems do not cover, or your team wants to customize fields, workflows, and reports. Its database access suits operators with in-house analysts. If you are also weighing Yardi, read Yardi Breeze vs Rent Manager and our Rent Manager review.

A third option: Darcy

Darcy is AI-native property management software for leasing, maintenance, and accounting. It also covers commercial, associations, affordable housing, utilities, and capital projects. The price is published: $2 per unit per month for the whole system and its AI agents, with payment processing billed per transaction. Darcy's agents draft resident replies, collections messages, renewal offers, and maintenance triage, and every action shows the records it used. Darcy imports exports from both AppFolio and Rent Manager, and nothing is imported until you approve it. Compare Darcy vs AppFolio and Darcy vs Rent Manager, or book a demo.
